The Tuesday the night Reception might be a good time. Could there be a prominent table with a good big sign proclaiming this to be the roost for the New Ag Talk Birds?
Then there is the Wednesday Noon meal on our own, for a possible informal gathering for a group feeding.
I would suspect you and others will be attending the Hay Organization Dinner Meeting, Monday 7 PM (Supper time  ).
