Wisconsin | I do the bookkeeping for a small country church. Several years ago they opened a credit card account with the Pastor, Secretary, and Building and Grounds Manager each having their own card. As the bookkeeper I prefer it to the reimbursement system. Once a month when I get the check ready for the card payment I gather the receipts and check the charges. It's all in one place and only one check to write.
In order to prevent abuse be sure to get receipts. Most importantly have multiple independent sets of eyes that look things over. I check the receipts when I prepare the card payment. The treasurer has access to them when she signs the check. The council can track expenses against the budget in the monthly financial reports. And finally there is a 3 person audit committee has access to everything at the end of the year.
It's worked fine for us. | |
