A place that I worked at a few years back issued every employee a basic set of tools. The owner took the time and engraved every piece of every set with a number so that you could tell what set it belonged in. From then on the employee was responsible for their tools and if someone quit or was fired their last paycheck was held till a tool check was done. We all signed a "tool agreement" when we hired on. Larger/specialty tools were in a locked tool crib with a sign-out sheet. When signing out a tool it was your responsibility to return it and managements responsibility to sign it back in after checking for damage. If a tool was lost or damaged, it came out of the employees paycheck; all part of the tool agreement.

As far as maintenance, we kept a log of every truck and farm tractor. Recorded tire pressure, fluid levels, odometer readings, grease schedule, fuel fill ups,.... There was time set aside every Friday morning to grease every truck, change oil if needed, and wash the whole fleet. With three guys working together and everyone having a task, the Friday maintenance only lasted 45min on average to take care of 10 vehicles.

For implements he copied the picture in the owners manual and circled with a red sharpie where every grease fitting was. Some things were color coded where red was 5 pumps, blue was 10 pumps, and green was until you saw grease seep out. He had them all laminated and put inside old plastic welding rod boxes attached to the tongue somewhere. There was also another copy of these in every tractor and every truck. After greasing every morning we would initial under implement maintenance on the tractor log.
