Illinois | OK this isn't the perfect system but this is what we have done these past 2 years.
I also run 2 combines, 2 grain carts, & 3 of our own semi's and hire another 3-4 from another operator. We also have an elevator who loads out from our grain setup and deliveries to a couple other delivery points for us. (This elevator hauled 78 loads of dry corn for us this year)
So we use text messages. I have them text my Blackberry. The Blackberry will store the text messages for a number of weeks. I have to spend about 30-45 minutes a day recording these to an excel spread sheet in the morning.
Each cart operator will send me a text with the following.
1. Truck operator's name
2. Destination of each truck (most times this is just to our grain facility, this year because of wet corn we would send some right from field to elevator)
3. Farm & field location
If my truck drivers go to elevator they will send me the following
1. Elevator/ethanol/rail terminal delivery point
2. Ticket number
3. Moisture & bushels. (this year we added T.W., F.M., & Damage)
I have one elevator who will Text me at the end of the day the amount of bushels delivered that day.
I have one grain merchandiser who will email the tickets and loads at the end of each day.
I am working on getting a system for all my workers to have Blackberry's. With them we can email and save in a file for each driver, elevator, or day.
